Dripping Springs Community Library

Under general supervision of the Library Director, the part-time Administrative Assistant provides vital clerical and organizational support to ensure efficient operations of the library.

Essential Functions

  • Scheduling and Calendar Management
    • Schedule meetings and appointments for Library Director
    • Coordinate professional development, including travel for Director and staff
    • Manage Staff and Event Calendar
  • General Office Support
    • Order and maintain inventory of office supplies
    • Schedule and coordinate building maintenance with vendors
    • Provide notary services
    • Serve as circulation desk backup
    • Create marketing materials and manage library newsletter
    • Handle incoming and outgoing mail
    • Deposit bank receipts
    • Reconcile register and printer kiosks
    • Maintain files and records retention schedules
    • Use personal vehicle to complete tasks
    • Supervise and train administrative volunteers
    • Other duties as assigned

Minimum Requirements

  1. High School Diploma or Equivalent
  2. Office administration experience
  3. Valid driver’s license at employment and throughout employment
  4. Personally insured vehicle for use on the job at employment and throughout employment; Library provides mileage reimbursement
  5. Licensed notary or ability to obtain notary license

*May consider equivalent combination of education and experience

Desirable Qualifications

  1. Experience coordinating maintenance for public facility
  2. Experience in a public service organization that includes volunteer programs, special events, community outreach or other related experience

Knowledge, Skills, Abilities & Other Characteristics

  • Strong customer service skills and commitment to maintain organizational objectives
  • Ability to use standard computer applications including Microsoft Suite
  • Knowledge of basic recordkeeping principles and procedures
  • Ability to establish and maintain effective working relationships with diverse staff, managers, volunteers, and representatives of external entities
  • Excellent organizational skills; flexibility, and ability to multi-task
  • Excellent oral and written communication skills
  • Ability to make sound, independent decisions within established policies and procedures
  • Ability to maintain confidentiality of sensitive information
